Maintenance Plans
Maintenance Services/Plans in Bizops
This is a step by step guide to implementing maintenance plans/services using Bizops.
Step 1 – Product Setup
Create individual SKUs for the services that need to be rendered as a part of as Maintenance plan.
Step 2 – Scheduler Setup
Create Events for the services and assign resources to the Events using the Event and Resource manager functionality in Bizops.
Step 3 – Template Setup
Create a Template which will be a group of SKUs representing all the services to be performed as a part of the maintenance plan. Typically the template will be configured ( and named) as per the duration of the contract. i.e. if the maintenance plans are being offered in terms of Years , there will be one template each for every time period . (1yr/2yr/3yr etc.) .
The template has a duration field to specify the duration of the template in months.
Configure each Item (SKUs) within the template will to have the count (quantity) of the service (for the duration) , the Events(s) that need to be scheduled and their frequency.
The Template can organized by category ( separate from the product catalog-category) . The template can also have a manufacturer assigned allowing for Manufacturer specific templates.
Templates and be added/updated from the Template Manager screen in Bizops.
This can be reached from Products->Templates or Order-> Templates.

The template title, category, Manufacturer, duration and Inactive attributes of the template can be modified from the screen by clicking on the individual fields and updating them.
Adding a New Template
Clicking the Add New button will result in a Pop up window to add a new Template.
Specify the Template name , manufacturer and Category while adding a new template.
Copy Template
The Copy option can be used to create a copy of an existing template. This will create a new template with the same items and event configuration.
Manage Items Within Template
Clicking on the Items column will result in a Pop up that lets the user manage all the items within the template.
The Event column specifies the Event(s) that will be scheduled as a part of the Plan.
The Interval is the frequency in Timespan (Days/Weeks/Months) that the event selected will be scheduled. Eg. If the Interval and Timespan are set to 3 months. The event will be scheduled to occur once every 3 months.
Additional items can be added by Entering the SKU on the last row of the list and
Step 4 – Order Entry
During Order entry, add the relevant template to the Order. This will automatically add the products within the template as separate line items on the order with the quantity as defined in the Template.
Step 5 – Scheduling Services
Once the Order has been created, switch to the Events tab. Under the Event Actions dropdown menu, Select the option to Add Maintenance Events.
This will bring back the list of all the Events that have been configured for items within the Template. The dates will be as per the frequency in the template. The events will be scheduled for the entire duration of months specified in the template from the start date specified on the screen. The start date defaults to the Order date. Click the reschedule button to change the start date and reschedule the events.
The events will be scheduled when the Save Events button is clicked.
